Career Summary
Key responsibilities of this position include set-up and oversight of grant management systems and procedures, particularly monitoring and administration of all sub-recipients, including compliance, payments, reporting, and evaluation. Key responsibilities also include supporting staff with project start-up and close-out, ensuring compliance with all donor guidelines and regulations, donor communication and coordination, oversight of donor reporting, and oversight of sub-grant awards. This work must ensure that donor expectations are met and that programs are successfully implemented. The successful candidate will also support office administration (such as purchasing).
Responsibilities
Key responsibilities of this position will include: 
  • Set-up, dissemination and oversight of grant management systems and procedures for sub-recipients. 
  • Monitoring and administration of all sub-recipient including awarding, amendments, report submission and compliance of the sub-awardees. 
  • Support sub-recipient staff, particularly managers in the Finance, Administration and Program Departments, with project start-up and close-out. 
  • Liaise with the CCSD Development Department when necessary in a project cycle, particularly at the start-up and close of projects, as well as facilitate project feedback to the Development Department to help in writing proposals. 
  • Ensure that project implementation is successful and meets donor requirements and commitments. Help problem-solve obstacles as they arise. Ensure compliance with all relevant donor regulations throughout. 
  • Serve as key point of contact with donors for management of the grant, including finalizing award documentation with the donor and rapidly responding to requests for information. 
  • Support sub-recipient Finance and Program staff to monitor rate of spending and troubleshoot as needed. 
  • Work with sub-recipient Finance staff to monitor reporting when required by donor. 
  • Work with sub-recipient Finance and Program staff to ensure expense charges are allowable, allocable and reasonable; and follow up to ensure errors are corrected. 
  • Assist with sub-recipient’s budget planning and monitor monthly budget versus actual expenditures; compile and analyze annual and budget submissions 
  • Ensure that donor reporting deadlines are met, and support sub-recipient’s Monitoring & Evaluation staff and Finance Department staff to produce high quality narrative and financial reports that fully comply with reporting guidelines. 
  • Write and edit donor reports and internal management reports on programming. 
  • Maintain all grant files and records in a user-friendly manner. 
Qualifications and skills

Ideal candidates for this position will: 

  • Hold a Master’s degree in Business or NGO Management / Administration, or a related discipline. 
  • Have at least 3 years of experience of working in administration related to NGOs, preferably with annual budgets over $1 million. 
  • Have solid experience with the guidelines, standards and procedures of international donors (including regional organizations such as the US Government and US foundations), as well as writing reports to donors. 
  • Have expertise in creating, disseminating and maintaining user-friendly systems and procedures for ensuring a smooth work flow. 
  • Have work experience in an international environment and with NGOs working in complex situations. 
  • Strong experience with ensuring organizations’ compliance with donor guidelines and regulations. 
  • Have experience in developing and/or managing program budgets. 
  • Have the ability to meet deadlines while following through on multiple projects. 
  • Have the ability to speak and write fluent English. Ability to speak and write in Arabic is preferable but not required. 
  • Be a friendly and supportive team member with excellent communication skills.
